Begin with the tent or reception footprint. Add the dance floor, head table and service areas, then work through the guest tables. Make room for the equipment that is easy to overlook, such as a DJ area or a buffet table.

Review table shapes and the guest count together.

Round and banquet tables produce different arrangements. Choose the tables and chair counts that match the intended rental, and leave the space between them visible. The venue and rental team should review the plan against the real site and event requirements.

Share the picture, not only a list.
